Privacy Policy
This policy explains what personal information Shingo Travel LLC (“we”, “us”) collects when you use this website or book a tour, how we use it, and the choices you have.
Last updated: 14 October 2026
1. Who we are
Shingo Travel LLC (Shingo Travel合同会社) is responsible for your personal information. We are a personal information handling business operator under Japan’s Act on the Protection of Personal Information (APPI) and, for visitors from the EEA and UK, the controller under the GDPR.
- Address: 4-43-3 Honmachi, Shibuya-ku, Tokyo, Japan
- Representative: Shingo Nakamura
- Email: info@shingotravel.com
2. What we collect
- When you contact us (contact form or email): your name, email address, travel dates, number of adults, your children’s ages and your message.
- When you book: bookings are made in the Bókun booking window on our pages. We receive your name, contact details, the tour, date and number of participants, and any notes you add. Payment is processed by Bókun and its payment partners; we never see your full card number.
- Before and during your tour: anything you choose to tell us so we can run the tour well, such as children’s ages, stroller or wheelchair use, or dietary needs.
- Technical data: when you visit, our hosting and spam-check providers process your IP address and basic browser information. We use your IP address to count form submissions and stop abuse; these counters are deleted automatically within a few hours.
We do not use analytics or advertising cookies, and this website does not set its own cookies. The booking window (Bókun) and the spam check (Cloudflare) may use cookies or similar storage that they need to work.
3. How we use it
- To reply to your questions and send you the information you ask for
- To take and manage your booking, and to contact you before and after your tour
- To run your tour safely and suited to your group
- To keep this website secure and prevent spam and abuse
- To meet our legal obligations, such as keeping accounting records
We do not sell your personal information, and we do not send you marketing emails unless you ask us to.
For visitors from the EEA and UK, our legal bases are: taking steps at your request before a booking and performing the booking contract; our legitimate interests in replying to you and keeping the site secure; compliance with legal obligations; and your consent where we ask for it.
4. Who we share it with
We share personal information only as needed for the purposes above:
- Service providers that run parts of our website and business for us (see the list below). They may use the information only to provide their service to us.
- The guide who leads your tour. They receive only what they need: names, group size, date, meeting details and any needs you told us about.
- Authorities, when the law requires it.
5. Transfers outside Japan
Our service providers store and process data outside Japan:
- Vercel Inc. — United States: Hosting this website
- Upstash, Inc. — United States: Short-lived counters that limit abuse of our forms
- Cloudflare, Inc. — United States: Spam check (Turnstile)
- Plus Five Five, Inc. (Resend) — United States: Sending emails from our contact form
- Google LLC — United States: Our email inbox (Google Workspace)
- Tripadvisor LLC (Bókun) — United States: Online booking and payment
The United States has no single federal privacy law equivalent to the APPI; privacy is protected by a mix of federal and state laws (for example, the California Consumer Privacy Act). You can read about the privacy systems of other countries on the website of Japan’s Personal Information Protection Commission. We choose established providers that publish their security and privacy practices. By sending our contact form or making a booking, you agree to these transfers.
6. How long we keep it
- Questions that do not lead to a booking: up to 2 years after our last message with you
- Booking records: 7 years, as required by Japanese tax law
- Form abuse counters: a few hours
7. How we protect it
- Our representative is responsible for handling personal information, and only people who need it for your booking can see it.
- This website uses HTTPS, and passwords and keys for our services are stored securely.
- We check the privacy and security practices of the countries and providers listed in section 5.
8. Your rights
You can ask us to tell you what personal information we hold about you, to correct or delete it, to stop using it, or to stop sharing it. Under the APPI you can also ask for records of what we have shared with third parties. Visitors from the EEA and UK can also restrict or object to our use of their information, ask for a copy in a portable format, withdraw consent at any time, and complain to their local data protection authority.
Email us at info@shingotravel.com. We may ask you to confirm your identity, and we will reply within one month. There is no fee.
9. Children
Families are welcome on our tours. We collect children’s ages from their parent or guardian only, and we do not knowingly collect personal information directly from children.
10. Photos
Your guide may offer to take photos of your group during the tour. We post photos that show you on our website or social media only with your permission, and we will remove them if you ask.
11. Other websites
Links to Instagram, Facebook and other sites take you to services with their own privacy policies. We are not responsible for how they handle your information.
12. Changes to this policy
We will post any changes on this page and update the date above. If a change is significant, we will say so clearly here.
